Start with whose clock matters
An adult may arrange a lesson for a child living in another country, or a relative may contact admissions on the family’s behalf. State whose local time the proposed appointment uses. A message saying "seven in the evening" is incomplete without the relevant place and date.
For countries with several time zones, include the city or named time zone. Two families in the same country may need quite different appointments. Avoid relying on a remembered time difference that may change during the year.
Send a complete availability message
A practical message could say: "The learner is in Toronto. We are usually available on Tuesday or Thursday between 5 and 7 pm local time. Please confirm an available date and the time shown in our calendar invitation." This illustrates the information to provide; it is not an offer of an available slot.
Give two realistic windows if possible. Include school collection, meals and other commitments when deciding what is sustainable. The best-looking slot is not useful if the learner regularly arrives rushed or misses the beginning.
Check the confirmation carefully
Read the date, local time, duration and joining instructions before treating a request as a booked lesson. If the displayed time differs from your understanding, ask admissions to clarify before the appointment. Calendar applications can help, but their display also depends on device settings.
For recurring lessons, clarify whether the academy keeps the same learner-local time when a clock change occurs. Do not assume that a recurring invitation or a previous message settles every future date automatically.
Prepare for travel and seasonal changes
If the learner travels, tell admissions the temporary location and affected dates. A lesson that fits an evening routine at home could fall during school or sleep hours elsewhere. Discuss available adjustments and the applicable notice rules.
Different places may change clocks on different dates or not change them at all. Use the relevant calendar date rather than applying one fixed offset all year. The academy must confirm actual teacher availability for any revised arrangement.
Make the routine easy to maintain
Keep the joining details in one place and use an agreed contact route if a link fails. For a child, make sure a responsible adult knows the arrangement and is available to help with access. Test sound before the first lesson so the booked time can focus on learning.
